Airaea Workshop
Terms, Conditions, and Privacy Policy
Last updated: August 23, 2025
Terms and Conditions
Acceptance of Terms
By registering for or attending an Airaea LLC workshop (“Event”), you agree to comply with these Terms and Conditions. These terms form a binding agreement between you and Airaea LLC (“Airaea,” “we,” or “us”). If you do not agree with any part of these terms, please do not register or attend the Event.
Eligibility and Registration
You must be at least 18 years old to register for and attend the Event. By registering, you represent that you are 18 or older. Registration may require providing accurate information such as your name, email address, and phone number. You agree not to share your Event access link or credentials with others. Registrations are personal to the attendee and are not transferable without our consent.
Code of Conduct
We are committed to providing a safe, inclusive, and respectful environment for all participants. By joining the Event, you agree to behave in a professional and courteous manner toward presenters and fellow attendees. Prohibited conduct includes, but is not limited to:
Harassment, discrimination, or offensive behavior of any kind (whether verbal, written, or visual).
Disrupting the Event or interfering with others’ ability to participate.
Sharing inappropriate, vulgar, or promotional content unrelated to the Event.
Any other behavior that Airaea deems unprofessional, harmful, or disruptive.
Airaea reserves the right to remove or mute any attendee who violates this Code of Conduct or otherwise hinders the Event experience. Participants removed from an Event for misconduct are not entitled to a refund or any compensation.
No Recording or Photography
To maintain a safe and trusting environment, attendees are strictly prohibited from recording, photographing, screenshotting, or transmitting any audio, video, or visual content from the Event without prior written permission from Airaea. This includes recording the workshop session, breakout discussions, or capturing slides and materials. Unauthorized recording or sharing of Event content is a violation of these Terms and may result in immediate removal from the session and potential exclusion from future Airaea events.
Enforcement and Consequences
Any violation of the recording, photography, or content-sharing restrictions is considered a material breach of these Terms. Consequences may include immediate removal from the Event without refund, permanent suspension from future Airaea events or programs, and potential legal action. Airaea reserves all rights to seek damages, injunctive relief, or other remedies available under law for unauthorized use, distribution, or publication of Event content, recordings, or participant contributions.
Media Release and Consent
By participating in the Event, you grant Airaea LLC a perpetual, worldwide, irrevocable, royalty-free right and license to record, reproduce, distribute, publish, display, perform, edit, adapt, and otherwise use your image, likeness, voice, and contributions captured during the Event, in whole or in part, in any form and media now known or later developed, for any and all lawful purposes, without restriction, approval, or compensation. You waive any rights of privacy, publicity, or other claims arising out of such use. If you prefer not to appear, you may keep your camera off, use first name only, and avoid sharing identifying details.
Event Materials and Intellectual Property
All materials provided during the Event, including but not limited to slides, handouts, exercises, and content shared by the presenter, are the intellectual property of Airaea or the Event facilitators. These materials are provided to you solely for your personal educational use. You may not reproduce, distribute, publish, or share Event content or materials with anyone who did not attend, especially for commercial purposes, without explicit written permission from Airaea.
Additionally, Airaea’s name, logo, and any related trademarks are protected by intellectual property laws. Nothing in these Terms grants you any license or right to use Airaea’s trademarks or copyrighted materials. Unauthorized use of Airaea’s intellectual property is strictly prohibited.
Optional Coaching Sessions
The Event may offer optional one-on-one coaching sessions through a third-party service (such as Intro). Participation in any such coaching session is entirely voluntary and at your discretion. If you choose to schedule a coaching session, you may be required to agree to additional terms and privacy policies from that third-party platform. Airaea is not responsible for the services provided by third-party platforms. However, you are expected to uphold the same standards of conduct during any one-on-one session as in the main Event. Any personal advice or guidance provided in a coaching session is intended for informational and developmental purposes only and does not constitute professional advice (e.g., it is not legal, medical, or financial advice). You are responsible for any decisions you make following the coaching.
Cancellations and No-Shows
If you are unable to attend the Event, we ask that you cancel your registration in advance (through the Lu.ma registration page or by notifying us) so that we can offer your spot to others. For paid events (if any), cancellation requests may need to be made by a certain deadline to qualify for a refund, and processing fees may apply as stated on the registration page. No refunds will be provided for last-minute cancellations or no-shows, except at Airaea’s sole discretion or as required by applicable law.
Airaea reserves the right to cancel or reschedule the Event. If we cancel the Event entirely, and you have paid a fee, you will be entitled to a full refund of the registration fee (or, if you prefer, a credit toward a future Airaea event). If we reschedule the Event, your registration will be valid for the new date; if you cannot attend the rescheduled date, you may request a refund. Airaea is not liable for any other costs you may have incurred in anticipation of the Event (such as scheduling commitments or other expenses).
Privacy and Data Use
We respect your privacy and are committed to protecting your personal information. The details of how we collect, use, and protect your data are described in our Privacy Policy (see below). By registering for the Event, you acknowledge that Airaea will collect certain personal information (like your name and contact details) and communications necessary for event coordination. We will use this information to facilitate your participation and to send you Event-related updates or follow-ups. We will not sell your personal data to third parties. Please review the Privacy Policy section below for more information on data practices.
Liability Waiver and Disclaimers
You acknowledge that you are participating in the Event voluntarily and at your own risk. The Event content is provided for educational and personal development purposes. No Guarantees: Airaea makes no guarantee of any specific outcome or result from your participation in the workshop. Any advice, discussions, or materials provided are not a substitute for personal judgment or professional advice tailored to your situation.
No Liability: To the fullest extent permitted by law, you agree that Airaea, its instructors, coaches, and any guest speakers will not be liable for any direct, indirect, incidental, or consequential damages arising from or related to your participation in the Event. This includes (but is not limited to) any harm, injury, or loss that you or your business may incur from applying ideas or strategies discussed in the Event. You agree that if you are dissatisfied with the Event in any way, your sole remedy is to discontinue participation or request a refund (if applicable under the above cancellation policy).
Airaea is also not responsible for technical difficulties or interruptions beyond our control, such as internet outages, platform failures, or other issues that prevent you from attending or fully participating. We will do our best to help troubleshoot, but you assume the risk of technology failures.
Prohibited Use and Legal Compliance
You may not use the Event platform, content, or any related communication channels for any unlawful purpose or any purpose prohibited by these Terms. This includes but is not limited to:
Engaging in any form of cyber abuse, hacking, or attempting to circumvent security or access controls of the Event platform (e.g., Google Meet or Lu.ma).
Uploading or sharing any viruses, malware, or harmful code.
Violating any applicable laws or regulations during your participation (for example, privacy laws when handling information of other participants).
Any such actions may result in immediate termination of your access to the Event and potential legal consequences. Airaea reserves the right to report any unlawful behavior to the appropriate authorities.
Changes to Terms
Airaea may update or modify these Terms and Conditions from time to time. Any changes will be made to enhance fairness, clarity, or legal compliance. If we make material changes, we will notify registered attendees (for an upcoming Event) or post the updated Terms on our website or registration page with a new effective date. We encourage you to review the Terms periodically. By continuing to participate in our Events after changes are posted, you accept the modifications.
Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the state/jurisdiction where Airaea LLC is headquartered, without regard to its conflict of law principles. This governing law will apply unless otherwise required by the law of the jurisdiction in which you reside.
Arbitration + Class Action Waiver Clause
Dispute Resolution and Arbitration
Any dispute, claim, or controversy arising out of or relating to these Terms, the Event, or your participation shall be resolved through final and binding arbitration administered by the American Arbitration Association (“AAA”) under its Commercial Arbitration Rules. The arbitration shall take place in the state where Airaea LLC is headquartered, unless both parties agree otherwise, and shall be conducted in English.
You agree that arbitration will be conducted on an individual basis, and not in a class, consolidated, or representative action. You waive any right to bring or participate in a class action or seek relief on a class-wide basis. The arbitrator shall have the authority to grant any remedy that would otherwise be available in court, consistent with these Terms. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction.
Nothing in this section prevents Airaea from seeking injunctive or equitable relief in a court of competent jurisdiction to protect its intellectual property, confidential information, or recordings.
Contact Us (Terms)
If you have any questions or concerns about these Terms and Conditions, please contact us at support@airaea.com. We are happy to address any inquiries regarding your rights and obligations as an Event participant.
Privacy Policy
Last Updated: August 23, 2025
Airaea LLC (“Airaea,” “we,” or “us”) is committed to protecting your privacy. This Privacy Policy explains what information we collect from participants and registrants of our workshops (each an “Event”), how we use and share that information, and your rights regarding your personal data. By registering for or attending our Event, you agree to the collection and use of information as described in this policy.
Information We Collect
Information You Provide: When you register for an Event through our third-party registration platform (such as Lu.ma), we collect personal information that you provide, including your name, email address, and optionally your phone number. You may also provide information via survey responses or feedback forms before or after the Event (for example, your opinions or answers to workshop-related questions). If you participate in an optional one-on-one coaching session via a third-party service like Intro, that service may provide us with certain information about the booking (such as your name, contact info, and appointment time).
Event Participation Data: During the Event, we may collect information related to your participation. For instance, if the Event includes live chat or Q&A, any content you submit (questions, comments, etc.) may be recorded. The Event itself will be recorded (audio and video), so if you speak or turn on your camera, your voice and image will be captured in the recording. We also keep track of attendance (who attended and for how long) for internal purposes. By registering for or attending an Event, you expressly consent to the collection, use, and processing of your information as described in this Policy and in the Terms and Conditions.
Automatically Collected Data: When you visit our website or the Event registration page, certain data may be collected automatically by our web analytics and tracking tools. This includes technical data such as:
Cookies and similar technologies: Small data files that remember your preferences and activity on our site.
Device and browser information: e.g., your IP address, browser type, device type, and operating system.
Usage data: e.g., pages you visited on our site, the time spent on pages, and how you navigated to our site.
We use Google Analytics and similar tools on our website. These tools may collect some of the above information to help us understand site traffic and the effectiveness of our outreach. This data is generally analyzed in aggregate and is not used to personally identify you.
How We Use Your Information
To Host and Manage the Event: We use your registration information to reserve your spot and communicate with you about Event logistics (sending the Event link, reminders, updates, and post-event follow-ups).
To Communicate with You: We send essential emails related to the Event, such as confirmation details, reminder notices, and technical instructions. After the Event, we may send you a follow-up email which could include a thank-you message, a certificate of completion (if applicable), a link to a feedback survey, or additional resources discussed during the workshop. We might also inform you about future events or programs that may interest you, but you will have the opportunity to unsubscribe from such communications.
To Facilitate Coaching Sessions: If you schedule a one-on-one coaching session through Intro or a similar platform, we use the information provided to coordinate that session. (Note: Any information you provide directly to the third-party platform is handled according to their privacy practices, but we will treat any information we receive from them about you in accordance with this Privacy Policy.)
To Improve Our Offerings: We review the survey responses and feedback you provide to understand what we did well and what could be improved. This helps us refine our curriculum, presentation style, and logistics for future workshops. We may also analyze participation metrics (like attendance numbers or engagement during activities) to gauge the Event’s impact.
Internal Analytics and Research: The automatically collected data (via cookies and analytics tools) is used to better understand how people find out about our Events and interact with our website. For example, analytics may tell us which outreach methods are effective or which website pages are most visited. We use these insights to improve our marketing and user experience.
Ensuring Safety and Compliance: If we believe you have violated the Terms and Conditions, we may use your registration data to enforce our rights, including removal from Events, denial of future participation, or legal remedies. For example, if an attendee records or posts Event content without permission, we may use their registration information to identify them, enforce our rights, and take action, which may include removal from the Event, denial of future participation, or pursuing legal remedies. We also may retain certain information if necessary to meet legal requirements or to resolve any disputes that arise related to the Event.
How We Share Your Information
We do not sell your personal information to third parties. However, we do share certain information with third parties in the following circumstances:
Service Providers (Third-Party Platforms): We use trusted third-party services to help run our events and our business operations. These providers only access your information as needed to perform tasks on our behalf and are contractually obligated to protect it. Key service providers include:
Event Registration Platform: For example, we may use Lu.ma to handle event sign-ups. When you enter your details to register, that information is collected and stored by the platform and made available to us. Lu.ma acts as a data processor for us, meaning they will not use your info for their own purposes.
Video Conferencing Platform: We deliver the workshop via Google Meet (or a similar service). When you attend, your name, video feed, and audio are processed by Google Meet to enable the video conference. We do not control Google’s own data practices, but they typically do not use your audio/video data beyond providing the service. We recommend you review Google’s privacy policy if you have concerns.
Scheduling/Coaching Platform: If you opt for a coaching session via a service like Intro, that platform will collect your information to schedule the session. They may share with us the information necessary for the coaching (for instance, your name and contact info so we know who we are meeting, and any notes you provided about what you want to discuss). We do not receive any payment details from such platforms – payments (if any) are handled by the platform itself.
Analytics Tools: As mentioned, we use Google Analytics and Meta Pixel on our site. These tools receive data about your website interactions through cookies. This helps us gather insights on website traffic and advertisement effectiveness. The data shared with these providers does not include direct identifiers like your name or email, but may include IP addresses and browsing information. Google and Meta may use this data in accordance with their own privacy policies to provide anonymized analytics services to us.
Email and Communication Tools: We may use an email service provider (for example, Mailchimp, SendGrid, or similar) to send out Event communications and surveys. These tools would have access to your email address and name for the purpose of sending our messages. They are not allowed to use your info for other purposes.
Legal Compliance and Protection: We may disclose your information if required to do so by law or legal process (for example, a court order or government inquiry). We may also share information if we believe in good faith that it is necessary to investigate or protect against harmful activities to Airaea, our attendees, or others – for instance, to prevent fraud or to enforce the Terms and Conditions.
Business Transfers: In the event that Airaea is involved in a merger, acquisition, or sale of all or a portion of its assets, your information (such as our list of Event participants and related data) may be transferred to the new owner as part of that transaction. The new entity would continue to honor the commitments we have made in this Privacy Policy regarding your data.
Data Security
We take reasonable administrative, technical, and physical safeguards to protect the personal information we collect. For example, access to registration data is limited to authorized personnel, and our third-party providers like Lu.ma, Google, and Intro state that they use encryption and other security measures to protect data on their systems. Despite these precautions, please note that no method of internet transmission or electronic storage is completely secure. We cannot guarantee absolute security of your data. You share and participate at your own risk, but we will strive to protect your information to the best of our ability.
Data Retention
We retain your personal information only as long as necessary to fulfill the purposes outlined in this policy or as required by law. This means:
Registration information (name, contact details) is kept at least until the Event is concluded and any follow-up actions are completed. We may keep basic contact information afterward to inform you of future opportunities, unless you opt out.
Event recordings may be stored indefinitely as part of our content library or archives, especially if they are used for creating promotional snippets or internal review. However, these recordings will primarily be used internally or in controlled ways as described under “Media Release and Consent” in the Terms.
Survey responses and feedback are generally kept in an aggregated form after analysis (individual responses may be deleted or anonymized over time).
Automatically collected website data (via analytics) is retained as per the practices of Google Analytics and Meta Pixel, which typically aggregate data for analysis. We do not store raw web log data indefinitely on our own systems.
If you request deletion of your data (see “Your Choices and Rights” below), we will delete or anonymize your personal information in our records, except where we are required or permitted to retain it (for example, for legal compliance or legitimate business interests).
Your Choices and Rights
Opt-Out of Communications: You can unsubscribe from promotional or announcement emails at any time by clicking the unsubscribe link in those emails or by contacting us. Note that even if you opt out of marketing emails, we may still send you transactional or necessary communications related to an Event you registered for (such as reminders or surveys).
Access and Correction: You have the right to request access to the personal information we hold about you, and to ask that we correct any inaccuracies. You can update some of your registration details by contacting us or through the registration platform. We will respond to access requests as required by applicable law.
Deletion (Right to Be Forgotten): You may request that we delete the personal data we have about you. Upon such request, we will remove your personal information from our active databases, although we may retain anonymized information and will keep data as needed to comply with legal obligations or resolve disputes. Please note that if you ask us to delete your information before an upcoming Event, we might have to cancel your registration as we would no longer have the means to contact you or verify your eligibility.
Cookies: Most web browsers automatically accept cookies, but you can modify your browser setting to decline cookies or alert you when cookies are being sent. Check your browser’s help section for instructions on managing cookies. Keep in mind that disabling certain cookies (like those for the registration platform or login) might affect your ability to use some features on our site.
Do-Not-Track Signals: Our website currently does not respond to “Do Not Track” signals. However, you can generally limit tracking by third-party analytics by using browser extensions or settings.
Regional Privacy Rights: Depending on your jurisdiction, you may have additional privacy rights. For example:
California Residents: If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) such as the right to know what personal data is collected, the right to request deletion, and the right to opt-out of the sale of personal data (note: Airaea does not sell personal data). You also have the right not to receive discriminatory treatment for exercising your CCPA rights.
EU/EEA Residents: If you are in the European Union or European Economic Area, our processing of your personal data is subject to the General Data Protection Regulation (GDPR). This grants you rights to access, rectify, or erase your data, and to restrict or object to certain processing of your data. You also have the right to data portability and to lodge a complaint with a supervisory authority in your country.
If you have questions about exercising any of these rights, please contact us and we will assist you in accordance with applicable law.
Children’s Privacy
Airaea’s events and services are intended for adults and young adults age 18 and over. We do not knowingly allow anyone under 18 to register or attend our Events, and we do not intentionally collect personal information from children. If you are under 18, do not use or register for the Event or send us any personal information. If we discover that we have received information from a person under 18, we will delete it. Parents or guardians who believe that their child under 18 may have signed up or provided personal information to us should contact us immediately so that we can remove the data and (if applicable) cancel the child’s registration.
Event Recordings and Media Use
As noted in our Terms, Airaea may use Event recordings and media for any and all lawful purposes. By attending, you consent to such use. Any such media that we publish or share will generally be focused on the content of the workshop and the speaker. If participants appear, it is incidental to the Event context. We do not publicize personal details of attendees without explicit consent. By attending the Event, you acknowledge that your image or voice might be included in the recorded content and used by Airaea as described. If you have a concern about your likeness in any published material, please reach out to us. We will review and address such concerns as appropriate.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other reasons. When we update the policy, we will change the “Last Updated” date at the top. For significant changes, we may also provide a more prominent notice (such as on our website or via email to recent participants). We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information.
